A Guide to Allocating Your Wedding Budget for the Perfect Destination Celebration!

Planning a destination wedding comes with a lot of decisions. Where should you get married? Which resort is best? How do you book a room block? Who helps your guests? Who handles the actual wedding details?
And then there is another big question: What is the difference between a destination wedding planner vs destination wedding travel agent? Who helps you plan your destination wedding?
The short answer is that a destination wedding travel agent handles the travel side of your wedding, while a destination wedding planner focuses on the wedding itself. Typically, these are different roles, however some professionals, like me, offer destination wedding travel services with wedding planning support as an included service.
And not to complicate things further, but there’s a third role involved from the resort: a resort wedding coordinator.
Confused yet?
Don’t worry. I’m going to break down exactly who does what, where the roles overlap, and who you actually need to help plan your destination wedding.
I’m Morgan, a certified destination wedding travel agent and certified wedding planner, and I bridge the gap between the travel side and the wedding planning side so couples don’t have to piece everything together on their own!

The biggest difference between a destination wedding planner and a destination wedding travel agent is what part of the experience they manage.
A destination wedding travel agent helps you choose a destination and resort, set up your room block, manage travel reservations, and help your guests with their travel plans.
A destination wedding planner helps with the details of the actual wedding, such as your vision, decor, vendors, timeline, and wedding day logistics.
Then there is the resort wedding coordinator, who works for the resort and helps manage the wedding services provided by that property.
Each professional has a different job.
For some destination weddings, you may work with all three. For others, you may not need a separate wedding planner at all.
Let’s look at the differences.
| Service | Destination Wedding Travel Agent | Destination Wedding Planner | Resort Wedding Coordinator |
| Helps choose your destination | Yes | No | No |
| Helps choose the right resort | Yes | Sometimes | No |
| Explains resort wedding packages | Sometimes | Yes | Yes |
| Sets up your room block | Yes | No | No |
| Helps guests book travel | Yes | No | No |
| Answers guest travel questions | Yes | No | No |
| Helps with transportation and travel logistics | Yes | Sometimes | No |
| Helps create your wedding vision | No | Yes | Yes |
| Helps choose decor and design details | No | Yes | Sometimes |
| Recommends outside wedding vendors | Sometimes | Yes | No |
| Creates a detailed wedding timeline | No | Yes | Sometimes |
| Provides wedding day coordination | No | Yes | Yes |
| Works directly for you | Yes | Yes | No |
The easiest way to think about it is this:
Your destination wedding travel agent gets you and your guests to the wedding. The wedding planner helps plan the wedding. Your resort wedding coordinator helps execute the services provided by the resort.
Of course, there can be some overlap (hi, it’s me! Travel agent and certified destination wedding planner!).
That is why it is so important to understand exactly what services are included before hiring anyone.

A destination wedding travel agent focuses first on the travel experience.
And when you are planning a wedding in another country, there are a lot of travel details to manage.
Your destination wedding travel agent may help you:
One of the biggest benefits of working with a destination wedding travel agent is having someone who understands both group travel and destination weddings.
Booking a vacation for two people is very different from planning travel for 30, 50, or even 100 wedding guests.
You have different room types, different travel dates, payment deadlines, cancellations, transportation needs, and lots of questions.
And guess who your guests will call if they don’t have someone else to help them?
You.
That is probably not how you want to spend the months leading up to your wedding.
A destination wedding travel agent becomes the main point of contact for your guests’ travel arrangements so you can focus on getting married.
If you are still trying to decide where to have your wedding, working with someone who specializes in destination wedding planning services can also help you narrow down your options before you commit to a resort.

A destination wedding planner focuses on the actual wedding.
While your travel agent is managing reservations and travel logistics, your wedding planner is thinking about what happens once everyone arrives.
Depending on the services you book, a destination wedding planner may help with:
An independent wedding planner works for you.
That distinction is important.
Their job is to help bring your vision to life and guide you through the wedding planning process.
However, not every couple having a destination wedding needs to hire a separate full-service wedding planner.
Some couples are happy using the resort coordinator offered by their resort. Others want more hands-on support, custom design help, or someone who can manage all of the details from beginning to end.
It depends on your wedding, your expectations, and how much planning support you want.

This is where destination wedding planning can get especially confusing.
Most destination wedding resorts have wedding coordinators on staff.
So, if the resort gives you a wedding coordinator, do you still need a destination wedding planner?
Maybe. Maybe not.
A resort wedding coordinator works for the resort.
They help you select and manage the wedding services offered through the property. This can include things like your ceremony location, reception space, menu, decor packages, entertainment, and other resort-provided services. Often times, this consists of sending you over the menus or options and leaving you to make the decisions yourself.
It’s also becoming more common across the board that the resort coordinator isn’t assigned or introduced to you until about 3-6 months prior to wedding. This means that once your wedding is booked, it’s very likely you aren’t going to hear from anyone or start on any planning until things get closer if you’re only working with a resort coordinator for your destination wedding planning.
They are not going to manage your guests’ reservations, answer questions about flights, track your room block, or help Aunt Susan figure out how to get from the airport to the resort.
They are also not always the same as hiring an independent destination wedding planner.
A resort wedding coordinator may be working with many couples at the same time. The amount of personalized planning support you receive can vary by resort and wedding package.
This is one reason why choosing the right resort is so important.
The prettiest resort on Instagram is not always the resort with the best wedding team, wedding package, group policies, or experience for your guests.
Before booking, I recommend learning more about how to choose the best destination wedding resort for your specific group and wedding vision.

Not always.
I know that may not be the simple answer you were hoping for, but every destination wedding is different.
You may want both a travel agent and a wedding planner if you are planning a highly customized wedding, bringing in multiple outside vendors, hosting several wedding events, or simply want more hands-on support.
You may not need a separate full-service wedding planner if you are happy with your resort’s wedding packages and coordination services.
However, I strongly recommend working with a destination wedding travel professional.
Why?
Because even if the wedding itself is simple, the travel logistics usually are not.
You still need to choose the right resort, understand group contracts, set up a room block, manage reservations, help guests, track deadlines, and handle all the moving pieces that come with group travel.
That is where a destination wedding travel agent can make a huge difference.

I recommend starting with a destination wedding travel agent.
Before you can choose flowers, centerpieces, or a reception menu, you need a destination and a resort.
And choosing a resort is about much more than finding a pretty beach.
You need to consider:
Once your resort and wedding date are secured, you can move forward with the wedding details.
Starting with a destination wedding specialist can help you avoid falling in love with a resort that does not actually work for your wedding or your guests.
If you are at the very beginning of the process, you can also read my guide to planning a destination wedding to learn what to expect.

This is where my role looks a little different.
I step into a hybrid role as your destination wedding travel agent AND wedding planner, so you’re not juggling multiple people or trying to connect everything on your own.
Think of me as your travel advisor, your wedding planning guide, and your honorary maid of honor all in one.
On the travel side, I’m handling everything for you and your guests. From selecting the right resort to managing room blocks, bookings, and all of the communication that comes with it.
On the wedding side, I’m guiding you through the decisions that bring your day to life. The details, the timeline, the experience you’re creating for yourselves and your guests.
And throughout the entire process, I’m your main point of contact.
You’re not wondering who to ask or where something falls. You have one person who understands the full picture and is there to make sure everything stays organized and aligned.
My goal is always to make sure you feel taken care of, not overwhelmed. That every decision feels clear instead of stressful, and that you actually get to enjoy this season of your life.

Before signing a contract or paying a deposit, make sure you understand who is responsible for what.
Here are a few questions I recommend asking:
There is no single “right” combination of professionals for every destination wedding.
The goal is to understand what kind of help you need and then make sure you hire the right people to provide it.

A destination wedding travel agent focuses on travel logistics like resorts, guest bookings, and group coordination, while a wedding planner focuses on the design, details, and flow of your wedding day.
Not necessarily. Some couples work with a destination wedding travel agent and use the resort’s wedding coordinator for the wedding details. Other couples hire an independent planner for additional support. OR, if you work with me, you get BOTH a travel agent and certified wedding planner.
The right choice depends on the complexity of your wedding and how much help you want.
A destination wedding package is offered by a resort and typically includes your ceremony setup, basic décor, food and drinks, and coordination through the resort team.
Most couples start with a destination wedding travel agent since choosing the right resort is one of the biggest decisions and impacts everything else.
A resort coordinator helps organize and execute your wedding through the resort, but they are focused on their property and are not managing your full experience or guest travel.
Some can, especially those who specialize in destination weddings. Having someone who understands both travel and wedding planning can make the entire process much smoother.
For many couples, yes. Planning group travel involves contracts, deadlines, payments, room categories, transportation, and guest questions. Having a professional manage those details can save you time and help you avoid common destination wedding planning mistakes.
Planning a destination wedding doesn’t have to feel complicated or overwhelming.
With the right support, it can feel organized, clear, and honestly… really exciting. I’d love to connect with you if you’re looking for someone to guide you through both the travel and wedding planning side so everything feels seamless from start to finish!
